1. Scope and Responsible Entities

This Privacy Policy explains how Ys and Partners, Inc., a United States company, and Ys and Partners Japan Co., Ltd., a Japanese company (each, as applicable, “Ys and Partners,” “we,” “us,” or “our”), collect, use, disclose, and protect personal information in connection with their corporate websites, business inquiries, professional services, communications, and promotional campaigns administered for clients. The entity responsible for particular information depends on which entity provides the relevant service or determines the purposes and means of processing. This Policy does not, merely by referring to both companies, make them joint controllers of all information.

Separate policies may apply to client-owned websites, e-commerce stores, or services, including The House of Umami, and take precedence for those specific services where expressly indicated. This Policy does not replace a client’s own privacy notice where that client is independently responsible for processing.

2. Information We Collect

Depending on your interactions with us, we may collect: (a) business contact details, including name, company, title, email address, telephone number, and messages; (b) records of inquiries, meetings, service requests, preferences, opt-in choices, and communications; (c) website and analytics information, including visited pages, referring sources, approximate location, device/browser characteristics, online identifiers, cookie information, and interactions with our website; and (d) where we administer a promotion, social-media account names, public entry comments, eligibility and drawing records, and, for selected winners, names, shipping addresses and relevant contact or eligibility details.

We do not routinely request payment card details, bank account details, or government identification documents through our general corporate inquiry forms. Where additional details are legitimately required for a particular service or legal obligation, we will explain the relevant purpose at collection.

3. How We Collect Information

We collect information directly from you when you contact us, submit a form, subscribe to communications, or engage with our services. We may also receive information through professional relationships, authorized service providers, or client promotions that we administer. Technical website usage information may be collected through cookies and similar technologies.

We process information to respond to inquiries; provide and improve services; maintain business relationships; manage requested or consented-to communications; operate, secure, and improve our websites; evaluate website traffic and aggregated or statistical patterns for marketing planning, content effectiveness, and website optimization; administer promotional campaigns, select and notify winners, verify eligibility, deliver prizes, prevent fraud; comply with legal obligations; and establish or defend legitimate legal claims.

We use business-contact information for marketing messages where the necessary consent or another lawful basis exists. An opt-in to marketing communications is not a waiver of privacy rights and does not require that we retain information indefinitely.

6. Promotions, Giveaways, and Sweepstakes

When administering client promotions, giveaways, or sweepstakes, we may process social media usernames, comments, entry information, and, for potential winners, names, eligibility details, contact information, and shipping addresses. We use such information to run the promotion, verify eligibility, contact winners, deliver prizes, prevent fraud, and meet legal obligations.

Information collected solely for a promotion is not automatically added to our marketing contact lists. Separate consent or another valid legal basis is required for unrelated marketing use.

We delete or de-identify personal information under our control collected specifically for a giveaway within ninety (90) days after that giveaway ends, unless a longer period is reasonably necessary for legal compliance, outstanding prize delivery, a complaint, dispute, or preservation obligation. This does not apply to information independently retained by third-party platforms under their own policies.

7. Disclosure and Service Providers

We may share personal information among the relevant Ys and Partners entities and with service providers or business partners where reasonably necessary to provide services, respond to inquiries, administer promotions, fulfill contractual obligations, or comply with applicable law. Service providers may include website hosting, communications, analytics, technology support, and delivery providers. Sharing is subject to applicable legal requirements and appropriate safeguards.

We do not sell personal information for money. Depending on applicable law and how website technologies are configured, certain disclosures of online identifiers to third parties may be treated as a 'sale' or 'sharing' under specific privacy laws. We address applicable notice and choice obligations where required.

8. International Transfers

Our business operates in the United States and Japan. Where information is accessed or transferred across borders, we take measures reasonably appropriate to protect it and comply with applicable requirements, including the Japanese Act on the Protection of Personal Information and applicable United States privacy laws. Where required, we will provide additional information or obtain consent for cross-border transfers.

9. Retention and Security

We retain ordinary business records and opted-in communications information while reasonably needed for their stated purposes, business relationships, consented communications, and legal obligations; they are not subject to the giveaway-specific 90-day period. We honor applicable requests and periodically assess whether continued retention is necessary. Information collected solely for giveaways follows the retention approach described above.

We use reasonable administrative, technical, and organizational measures designed to protect personal information, although no transmission or storage system is completely secure.

10. Your Choices and Privacy Rights

Depending on applicable law and our role in processing your information, you may have rights to request access, correction, deletion, restriction, objection, withdrawal of consent, portability, or information about certain disclosures. You may also have rights to opt out of certain sales, sharing, or targeted advertising where applicable. Contact us using the information below. We may need to verify your identity and may deny or limit requests where authorized by law. We will not discriminate unlawfully for exercising applicable privacy rights.

If information is processed by us solely on a client’s instructions, we may refer the request to that client or assist the client as appropriate. You can opt out of our marketing emails using the unsubscribe link in the message.

11. Children

Our corporate website and business communications are not intended for children under 13, and we do not knowingly solicit their personal information through those activities. Specific promotional campaigns may impose higher eligibility ages, as stated in their Official Rules. If you believe we have collected a child’s personal information inappropriately, please contact us.

12. Third-Party Platforms and Links

Our websites and promotions may link to third-party services, including Instagram and Google. Their handling of information is governed by their own notices and practices. We are not responsible for third-party policies or independently controlled data.

We may update this Policy to reflect changes in law, technology, or business practices. The effective date above will be updated when revisions are posted. Where legally required, we will provide additional notice or obtain consent for material changes.
